PC Form and A/A Form & Home Contacts ( issue 1)

UK Groups are reminded that they must complete a Form PC (for Scouts) or Form A/A

 (for Guides) in the normal way.  (There is no need to attach a programme). Once signed

by your District Commissioner the form should be mailed to Poacher 2004 Office. P

lease remember the Home Contact must not be related to any one in your party.


Travel Arrangements

If you are going to need help from us with travel arrangements from Ports/Airports or

Lincoln Bus/Rail Stations, please make contact detailing what assistance you require

 as soon as possible.  Please note that a charge will be made for collections from

locations outside Lincoln.

UK Groups that may be able to help with transport in Lincoln with mini-buses or coaches

that will be on site should also advise Poacher Secretariat of what they are able to offer.

Site Location

 The site will be clearly signposted from all  major routes, with entry for campers to be by the A1500 Tillbridge Lane Gate ONLY

(NB  NO ENTRANCE FOR CAMPERS FROM A15).


Camp Dates

As the organisers we have very limited build up time, it is important that camp participants

 do not arrive before 8.00am Saturday 31st July 2004.


A full week’s activities and entertainment is planned starting on Sunday 1st August 2004

1000hrs This frenetic activity will finish on Friday 6th August 2004, at 1630hrs allowing

departure from the site on 7th August 2004. 

Arrival

Arrival times will be staggered, groups are asked as much as possible to adhere to these

 times which will be mailed direct to all groups.

Upon Arrival at the Site you will be directed to your Sub Camp HQ.  After registering at the

 Sub – Camp and pitching camp the Leader in charge needs to visit the Administration

Centre as soon as possible to collect his Groups camp booklets, neckers, Activities

Passports etc.

 

Uniform

Please arrive and depart the site in Uniform (except for off site Activities when

the appropriate organisations guidelines or specific Poacher rules are to be complied with.)

 

Parents Activity Permission

It is necessary to bring to camp two copies of the Parents Permission Form for each

camper. One copy must be retained by the leader and one handed into the

Activities Information Centre. This ensures that campers have the necessary parental

permission for the activities which they do. (Another form is attached, in case it is required).

Please also ensure that you bring TWO PASSPORT SIZED PHOTOGRAPHS for

each camper participating in activities, and ONE PASSPORT SIZED PHOTOGRAPH for

each camping leader/staff member.

 

Site Services

For those of you who have never visited the Lincolnshire Showground, you will be pleased

to know that the site is fully serviced with permanent toilet / Shower blocks with additional

mobile shower units  that will be added to the site.  Tarmac roads ensure good access for

 your equipment vehicles on both Saturdays (ONLY) during Arrival and Departure periods.

You need to bring your own cooking and camping equipment to suit all weathers.

 All cooking must be by gas stoves.  Bottled gas is for sale on site.  Although there are

flush toilets available for each sub camp you need to bring your own washing facilities.

Fires

We remind you, that open fires are NOT permitted. Gas barbeques are allowed.
  NO charcoal  type barbeques are allowed at all. It is Good practice to have fire blankets 

Waste

Please ensure that you bring sufficient plastic refuse sacks.

Please put all rubbish into plastic sacks and dispose into the Skips provided on site

 and encourage your campers NOT to drop litter.

 Don’t forget to put refuse sacks on your shopping list.
 

Toilet Facilities

It would help the Site Services Team if all Leaders could assist in monitoring the behaviour of campers around Toilet Blocks.

Fire Extinguishers

There will be many Fire Points situated around the site.  In the past extinguishers

have been let off by jovial campers. It would be very helpful if all Leaders can assist the Sub Camp Staff in supervising this area.

Vehicles

During the Arrival and Departure periods a one way system will operate, but after the camp has been established 
(i.e. after 1700 hours on Saturday 31 July) only essential vehicles will be allowed on to the site. Your co-operation
 is requested to move vehicles to the Car Park near to the front gate as soon as possible. Cars  should be parked 
to ensure the maximum economy of space and also to keep the cars under the watchful eye of the lighting system 
and CCTV system that will be installed for the camp. 
If Groups have box trailers they may use them in their camping area as food stores etc for the week.  
Open trailers will be able to be parked along the side of the police compound inside the site and if the owners
 bring a padlock and chain they can be secured to the fence posts for security. 
For their security they should not go out into the car park.
 

Day Visitors

Entrance to the site will be by the main A15 Gate by production of your Camp Identity Card.

Therefore if you intend having anyone visiting you during the camp, it would make their entry possible if

you inform the Administration Centre in advance. (You can send a list on a further copy of the

Contingent List but please rename the file “Visitor List” followed by your  booking number if sending electronically)

Generators

Generators are NOT allowed on the site.


First Aid

Wherever possible minor ailments/incidents etc should be dealt with by the group/unit first aider 

within the camping unit. There is a first aider on each sub camp.

There is a whole camp First Aid Centre and 24 hour cover will be provided.

Medicine: If you have a need to store medicine in a refrigerator, this facility is available at the First Aid

 Centre. The First Aid staff would also be prepared to administer this medicine if you require at the

 direction of the Camp Doctor.

Leaders Bar

Licensed Bar Facilities will be available in the evenings for those aged 18 years or over as identified by

 their camp pass.
 

Leaders Assistance Required

This is a full Activity Camp and campers will be occupied for most of every day, therefore if you have

 any Adults that have spare time, it would be appreciated if they could offer their assistance to the

Camp.  Help is particularly required as bus escorts (for groups going off site for activities/ visits).

Please complete and return the Form to offer help with this when you receive your pack.


International Marquee

All International Groups (including Scotland, Wales and Ireland etc) are encouraged to bring displays,

demonstrations, etc. Ideal items are local maps, flags, tourist leaflets, craft items and any other items

that embody your culture. We would welcome you putting on a Food demonstration to give others a

flavour of your local cuisine. We would appreciate it if everybody could bring some spare badges so

we can create a Poacher 2004 Camp blanket.


Pastoral Care

 The worship team will be pleased to welcome you into their Marquee, this will also be a drop in

activity were you can call in between the hrs of 10-30 and 4pm for activities as well as pastrol care at

any time. Services will be advertised in the camp handbook and on the camp radio.   

Special needs advisors will be on site  and will be contactable through the Pastoral team

 

Flag Break         PLEASE RESPECT THESE TWO Ceremonies

Central Flag break will be at 0800 hours daily, with Flag down at dusk.

 Everyone welcome – volunteers will be asked to assist with the flag break.

 

Shopping

We will run a small supermarket on site for Bread, Milk etc opening at 7am to 9am each day,

and there is a Tesco Super Store about 5 miles from the site and we will provide a bus service for

those without their own transport.

Groceries available on arrival: If you wish to have food items made available on your arrival, please

complete the Grocery order form ( available on the web site HERE) and return with full payment  by

31st July 2004 (Cheques payable to: “Poacher 2004”).


Camp T Shirt/Polo Shirts

To guarantee that these will be available for you upon arrival, make sure you place your order on the

attached order form ( available on the web site HERE) and return with full payment by  7th June 2004. Special commemorative badges

may also be available on the order form.

 

Snacks and Refreshments

Available on site: Poacher 2004 Café open all day and other outlets selling, Chips, Fish, Chicken,

 Beef burgers, Ice Cream, Sweets, Chocolate, Crisps, soft drinks etc.
 

Other Shopping Outlets available on site: Souvenirs, Camping equipment, Gas Supplies,

Scout and Guide Shop,  Stationery, Postal Services, Photographic Services. 

 

The Theme

The Camp Theme is Movies the  campers Sub-Camps are

Your Sub Camp leader will also be writing separately to you so you can get “themed up”

 

Opening Ceremony         Saturday 31st July 2004 Opening Ceremony at 19.30hrs

Thousands will unite together for one week of fun, excitement and adventure. The grand opening of

the camp will take place on Saturday evening starting at 19.30hrs. (Full Uniform to be worn please )

(information available from sub camp leaders on arrival) It will start with a grand parade around the

camp lead by mass bands and will finish in the main arena. When Poacher has been opened the fun

begins with a massive opening party in the arena.

 

Activities

This is a full Activity Camp, where campers will be occupied most of the time, mainly in the Activity

Village, but with some activities off site, and additional Trips to local places of interest.

 

The core activity times are Sunday to Friday 1000hrs to 1230hrs, break for lunch and then from

1400hrs to1630hrs. Some activities may operate outside of these times, particularly if transport is

 necessary.

Entertainment

From 19.00hrs – 22.30hrs the Entertainment Centre and Barn will provide an assortment of evening

entertainment with live bands and discos every night as well as a cinema. The Entertainment available

and the venue it is taking place in will be advertised every day in your Sub Camp.

 A cinema will run two films during the day and one in the evening.

Could someone from your group win Poacher 2004 Pop Idol and perform live on stage during the

 closing ceremony. The Entertainments Centre will host auditions during the day from Sub Camps.

Followed by a live performance in the Entertainments Centre during the evening of those judged to

 be the best from their sub camps. The final will be on Thursday evening with the winner plying live

at the closing ceremony. Bring along your instruments, bring your own backing tape if required,

but rehearse your show before you come.

 

As well as evening entertainment the Entertainment Team will during the day provide a non issued

ticketed activity: -

THE EARTH BOUND MISFITS Ltd

Have been conducting new circus workshops since 1995 and in that time have become one of

Lincolnshire’s leading mobile circus arts tuition groups.

The workshops have been developed to be unique, fun, circus experience in which absolutely anyone

can join in.  Come along and try your hand at: -

Juggling (scarves, balls, rings, clubs)

Plate Spinning, Yo-yo, Diablo

Devil & Rhythm Sticks

Unicycle, Globe walking, Poi, Astro jax

Stilt Walking

Rola Bola

Cigar Boxes, Clowning and more.

THE CINEMA             MOVIE SIMULATOR             AN ACTIVITY AREA.

 

The Hullabloo Roadshow from the Kent Scouts will run the Outdoor Stage in the Poacher Village. 

 They also intend to provide the camp radio so a pocket FM Radio with ear pieces may be useful

 that way you could get to hear of everything that is happening at Poacher .

 

Controlling Activities

We operate an Activities Passport and Ticketing System to ensure the smooth running of all activities.

To gain access to any activity an Activities Passport must be presented with the relevant ticket stuck in.

Tickets will indicate a time and date and place for the activity or a time to catch an activity bus. 

 If campers wish to exchange any activity tickets with other campers, they should be allowed to do so,

but BEFORE sticking them to their Activities Passport. A Ticket is only valid if it is stuck into the

Passport.

Upon arrival at camp as a leader you will receive for each youngster an Activities Passport along with a

 selection of tickets.  The Activities Passport will show the campers Name and Photograph and is also

their Identity Card.     It is necessary to bring to camp Two signed copies of the Parents Permission

Form for each youngster. One copy must be retained by you and one handed into the Information Centre.

This will be used to ensure that campers have the necessary parental permission for the activities

which they do.

 

Just to repeat please also ensure that you

bring TWO PASSPORT SIZED PHOTOGRAPHS

 for each camper participating in activities.

 On each young person’s Activities Passport, you (the Leader in charge) will need to complete and

sign the ‘Unable to Participate’ list from the details on the Parents Permission Forms.

Also space is available on the Activities Passport, to indicate if a youngster suffers from any medical

condition i.e. Asthmatic (a code number will be used). Activities Passports should be looked after

carefully because losses will not be replaced for 24 hours

Tickets

A Ticket is only valid if it is attached to a Activities Passport The tickets will give access to specific

 Activities and also to Groups of Activities and they will be issued to enable you to allow some

 campers (e.g. friends) to go to the same Activity at the same time.

 

Most tickets will indicate a time and date for the Activity or a time to catch an Activity Bus.

 If campers wish to exchange any Activity tickets with other campers, they should be allowed to do so,

but BEFORE sticking them to their Activities Passport.

 

Spare tickets will be given away on a daily basis at the Sub Camp HQ’s. Any Tickets that may not be

 required should also be returned so that they can be reissued.

 

Some Tickets will be “Special”. The Youngster will need to visit the Information Centre the day

before the “Special ”day to exchange this “Special” Ticket for a “Special Activity.”

This will only be available until 1830 hrs because after this time any spare tickets will be given away.

 

Trips

There will be opportunities to visit local places of interest with transport provided. 

Details of the Trips and days and times, and an opportunity to book a place will be available in

the Activities Centre.

 

Leaving Site

Some Activities are outside the perimeter fence or there will be a need to catch a bus.

It is important that we know who is off site, therefore all campers must hand the detachable

 “off site” section of their passport in at the Gate when they leave and then collect it again upon

 their return.  Leaders leaving site are to ensure that their unit or sub camp are aware of their plans

 

Water Activities

For all Water Activities, it is essential that campers take with them a Swimming Costume and clothes

such as shorts or tracksuit, trainers or similar, T shirt or Jumper and a Windproof jacket that they can

wear during these Water Activities. Clothes will inevitably get wet and it is essential that each

youngster has a change of clothes with him/her, and that these are in addition to normal camp clothes.

 

Night Hike 

The hike will be fully supervised and will be suitable for wheelchair users. The intention is that

 participants will hike to a nearby permanent Scout District Campsite that has permanent

accommodation suitable for overnight sleeping and ‘bussing’ the hikers back first thing in the morning.

 

Sub Camp Sports Activities and Competitions

5 a side football, Uni Hockey, Volleyball etc.    Get your Group organised to enter a team.     

 We also need Leaders to volunteer as Referees.

 

Best Gate Competition

Build the best Gateway: either Traditional or Modern Construction. Traditional must be constructed

using pioneering poles, staves, ropes and twine. Modern can be made from any material

All gates must be constructed safely. Bring all your own gate building material Judging will

ake place during Thursday

Closing Ceremony

The last night of the jamboree, every person on the campsite will gather together for one last

celebration. Many will have made lifelong friends, many from overseas.

The fun will start in the main arena on Friday night at 19.30hrs followed with a mega concert/rave

and close with what will we are sure be remembered for many years to come.

The theme of Poacher is ‘The Movies’. Could there be someone famous to close the camp?

Who knows, we'll all have to wait and see!!!!!

 

Camp Rules

1.               A high standard of camping will be expected and maintained.

2.               In the event of any dispute the Management Committee’s decision will be final. 

           This includes up to the exclusion of an individual or group or unit  from  the site.

3.         All Leaders will be responsible for internal and external security during the camp

  and for overseeing those in their charge.

4.         All Campers must wear their camp necker at all times (except when asked to remove

           it for safety reasons on specific activities)

5.               All suspicious incidents should be reported immediately to staff at the Administration Centre

6.               Lost & Found property should be handed in at the Administration Centre

7.               All vehicles must be parked on the designated parking area outside the site except those

           vehicles authorised for emergency or on site use. These vehicles will bear special passes.

8.               All vehicles are to display a car pass at all times, with appropriate detail completed

9.               Other than for emergency purposes a 5mph speed limit will apply within the Showground.

10.            All campers must be made aware of and comply with the fire and accident rules.

11.            Avoid disturbing others with your radio, tape recorders, walkmans etc

12.            The organisers accept no responsibility for any loss or damage to vehicles, equipment,

            personal property for the duration of the camp.

13.            All activities and events will be run in accordance with the Scout and Guide Associations’

           Policy, Organisation & Rules/Manual.


Fire Regulations

 Each Sub Camp Leader will appoint a responsible person to enforce the Fire Safety requirements:
 

1.               At least a 10’ (3m) gap between tents (Patrol size).  At least an 8’ (2.5m) between tents

(Hike size)  Or a 2’ (0.6m) clear space between pegs of adjoining tent, whichever is the greater distance between tent walls.  For larger tents & marquees: please see Sub-Camp Staff before erecting.

2.               All roadways both made-up and designated to be kept clear at all times.

3.                Fire Hydrants are to be kept clear of all obstructions and be used by authorised persons only.

4.               No smoking at any time in a tented area.

5.               Litter and combustibles should not be allowed to accumulate.

6.               Flammable liquids and LPG (Gas) cylinders must be kept outside tents, in ‘l area. Bulk storage is strictly forbidden ample supplies will be availible from commercial outlets.

7.               Cooking and lighting appliances must not be used in small tents. When used in large tents they must be positioned well away from wall and roof surfaces, well away from other combustibles, and out of draughts.  They must be positioned where they cannot be knocked over.  They must only be filled, or have replacement cylinders fitted in the open air.

8.               No candles or naked flames to be used in or near tents

 9.               No open fires permitted.

10.            No vehicles to be parked in the camping area
